Setting Up Email and Zoom Links for Calendar Appointments

Objective: Connect your email and Zoom account to the calendar app to ensure appointments are booked accurately and efficiently.

Key Steps:

  1. Go to the "Settings" section in the app and navigate to "Integrations".

    • Look for the "Connect Your Locations Google Account" option.

  2. Connect your email account to the app by signing in with your Google account.

    • Click on the "Sign in with Google" button.

    • Select your RM Marketing account, click "Continue", and then click "Allow".

  3. Verify that your email is successfully added to the system.

    • You should see a confirmation message indicating that your Gmail account and calendars are linked.

  4. Access your profile settings by clicking on "My Profile".

    • Set up your email account according to your hours of operation and time zone.

  5. Choose "Custom" as your meeting location and obtain your Zoom meeting link.

    • Log in to your Zoom account and click on "Meetings".

    • Select "Personal Room" and copy the invite link provided.

    • Go back to the app and paste the Zoom meeting link in the designated spot.

  6. Set your time zone and hours of operation.

    • Select the appropriate time zone (e.g., Mountain Standard Time or Eastern Standard Time).

    • Specify your hours of operation, such as 8am to 5pm from Monday to Friday.

    • Copy the hours of operation to all relevant days.

  7. Sync your Google calendar with the app.

    • Under "Configuration", click on "Edit" next to the calendar sync option.

    • Choose the Google calendar you have integrated with the app.

    • If you don't have a calendar yet, create one and select it as the primary calendar.

    • Save the changes.

  8. Check for conflicts in your calendar.

    • If you have additional personal or secondary calendars, add them to the "Check for Conflicts" section.

    • Share the necessary calendar information with your RM Marketing account.

    • Ensure that all calendars you want to check for conflicts are selected.

Cautionary Notes:

  • Make sure to use the same login credentials for the Lead Connector app as you used for your current login.

  • Be cautious when selecting the Google account to connect with the app. Choose the appropriate RM Marketing account.

  • Double-check that the correct Zoom meeting link is copied and pasted into the app.

  • Ensure that the time zone and hours of operation are accurately set to avoid scheduling conflicts.

Tips for Efficiency:

  • Have your cell phone number linked to your user account to receive a text with the download link for the Lead Connector app.

  • Familiarize yourself with the app's interface and navigation to complete the setup process quickly.

  • Keep your Zoom meeting link readily accessible for easy copying and pasting into the app.

  • Regularly check for updates or changes in your calendar settings to ensure smooth appointment bookings.
